When Your Brain Gets in the Way of Your Best Systems (Getting Rid of the Procrastination)

Case Study

Amy had a business about building systems for businesses.
You know, really give your whole backend a clean-up and set up the software that would be best for your business.

So you can imagine how organized and systemized Amy’s business was right? Right.
However, it doesn’t solve her procrastination problem.

Sometimes, Amy would be notified of a task, yet instead of doing it, she’d simply change the due date to one in a few days' time. When it popped up again, guess what? She’d change the due date again.

By understanding WHY Amy was procrastinating on certain tasks, not only were we able to solve the problem, she also gained additional tools to help her clients so she can serve them even better.

Because guess what?
Systems only work if you work the systems.
Amy is now able to help her clients work the systems better.

Thinking Skills

While you are doing any task, you (without even realizing it!) are using your 28 thinking skills.

When the thinking skills you need to use are strong, doing the task happens easily.
If the thinking skill you need to use is weak, doing the task will be a challenge.

The struggle that Amy had, came from a weak thinking skill to understand why she was procrastinating even with all her systems.

Procrastinating With Systems

Systems do not solve all your problems.
Sure, when used correctly, it keeps order in the chaos. But if you’re not using the system, then before you know it, the system itself is chaos.

That’s why BEFORE hiring a business systemizer or professional organizer, you want to make sure you’re thinking skills related to systems are strong and up to par. Or you’re gonna have the system and not use it.

For the most part, Amy’s thinking skills related to the systems were not just good, they were really strong.
After all, this was the genius her clients were hiring her for.
Yet, it didn’t mean she never procrastinated.
If the task she needed to do required her to use a thinking skill that wasn’t strong, she’d just push the task off over and over again.

Often, there are many mini-tasks that are required to do to get the task done. If one mini-task is a challenge for our brain (i.e. a thinking skill needed to do it is weak) we don’t want to do the whole task.

Understanding the Procrastination

To identify WHY she was really procrastinating so she could solve the problem once and for all we ask one simple, but powerful question:
What part of this task does my brain not like?

We continue to ask this question till we get to the root cause.
In Amy’s case, when asked what part of monthly check-in with employees does your brain not like, Amy answered: I don’t like having to tell them what they are doing wrong.

So we ask the question again: What part of not having to tell your employees what they’re doing wrong does your brain not like?

Amy answered: I feel they’re gonna get defensive and ask me questions I don’t have answers to. I don’t want them to think I don’t appreciate them or don’t like their work but we need to have these conversations to really keep the business growing and serving our clients in the best way possible.

So Amy understood it was good for her to have these conversations, but it was still really hard.
Amy wanted her employees to feel valued and to want to grow at the same time. She struggled to make that connection for them. She struggled with the thinking skill of projecting virtual relationships. (Which is exactly that - making connections that aren’t super obvious.)

Once we improved her thinking skill of projecting virtual relationships, her brain started seeing these monthly meetings with her employees as fun and even began enjoying the one-on-one time with each member.
She no longer procrastinated on these meetings or any task that was related to projecting virtual relationships.

The reason why YOU are procrastinating may be because of a completely different reason.
You want to understand why YOU are procrastinating, by asking yourself the question:
What part of this task does my brain not like?
And just like Amy, you can use this question with your clients or employees if appropriate.

Your Challenge

No system is going to save the day. If you don’t work the system it could actually create even bigger problems.

Your challenge this week, is every time you catch yourself procrastinating, ask yourself the question: What part of this task does my brain not like?
And continue asking the question till you get to the real reason as to why you are procrastinating.
(It’s going to be directly related to a thinking skill.)
