Making It Easy for Clients to Respond

Case Study

Lori was an interior designer with a real artsy background, doing work that was extremely unique.
Her clients loved her work, but they didn’t love her communication.
They’d chat with her, saying they would want to hire her, but when she would follow up by email, they would just ghost her.

Even once they were working together, clients often would take a long time to get back to her, sometimes only after many follow-ups.
The back-and-forth dragged everything out and slowed the whole process down.

She needed to solve this communication problem immediately.

Thinking Skills

While you are doing any task, you (without even realizing it!) are using your 28 thinking skills.

When the thinking skills you need to use are strong, doing the task happens easily.
If the thinking skill you need to use is weak, doing the task will be a challenge.

The struggle that Lori had came from a weak thinking skill of precision.

The Importance of Precision in Communication

Lori wasn’t being precise in how she was communicating with her clients.

When she was talking, it would be very long-winded, but it was interesting, so clients would listen (as she had so many great stories and ideas to share)
But when she wrote emails, it was overwhelming for people.

You see, our brains our wired for survival.
If the brain has to do the hard work of figuring out what the email wants,  more likely it’s just going to find something else to do.

The more work you do when you’re communicating, the less work the person receiving the communication needs to do.
By writing long, not precise emails, it made it hard for Lori's clients to be able to respond.

So we work on precision to make sure her communication is simple and easy to understand.

Improving Precision in Writing

Here are 3 exercises we did to help Lori improve her precision, especially in writing:

1) I gave Lori a long paragraph with a lot of extra irrelevant information.
She had to rewrite it in a way that was precise.
You can ask ChatGPT to give you a long-winded story and then fix it up yourself.

2) I had Lori look back at previous emails she sent and see if she were to rewrite them, how would she say it in a precise way.

3) Lori started writing to her clients in bullet points.
And if they needed to make a decision, she’d ask them Would you like A, B, or C/

For example:
What works best for you?
A) Thursday at 9 am
B) Thursday at 2 pm
C) Friday at 10 am
This makes it easy for the person to read and respond to the email quickly.

Your Challenge

Your challenge this week is to write your emails with the goal of making it easy for people to respond.

Yes, it takes more work to write your email in short bullet points that have all the information without too much information but the results will be worth it.
