Thinking is not big thing.
Thinking is made up of 28 thinking skills called cognitive functions.
Naturally we all have stronger ones and weaker ones, but those weaker ones are making it challenging for you to do what you want to do. 

You might be struggling with delegation if you have a weak cognitive function of labeling or being precise, both of which we spoke about in episodes 403 & 404.

There’s another cognitive function, you’ve got to be good at in order to delegate well - conserving constancies.

Conserving Constancies

Conserving constancies is about understanding what attributes need to stay the same for an object to keep its identity,

For example, in order for a square to be considered a square it needs to have 4 sides of equal length & 4 right angles. It doesn’t make a difference what color or size it is, if it has 4 sides of equal length and 4 right angles it’s a square.
However, as soon as all 4 sides are NOT equal, it’s not a square anymore. No matter the color or the size.

Conserving constancies is being able to see what characteristics need to stay the same, so that the object is still the same

What does this have to do with delegating?

Conserving Constancies in Delegation

In order to delegate well, you’ve got to understand, what parts of the tasks need to stay the same so that task does its job.

There are going to tasks that need to be done exactly how you’ve done it, in order to get the right results.
There are also going to be tasks that can be done slightly differently and still get the same results OR better.

If you want to delegate without micromanaging or constantly getting stressed at the work that was done, you’ve got to make it clear to yourself and the person you are delegating too, what parts of the tasks need to be done a certain way.

For example, if you are delegating podcast editing, the format needs to stay the same every single time, intro, outro, ads, etc. needs to be consistent throughout.
However, you might decide, you don’t care how much space in between people talking. It’s okay if sometimes there is more space then others.
Or maybe like this podcast, that is an important factor because the podcast is so short.

4 Types of Tasks to Delegate

So what should you delegate? 4 Types of tasks:

  • Tasks that aren’t in your zone of genius
  • ​Tasks you don’t like doing
  • ​Repeated tasks you do often - this is actually the easiest to delegate!
  • ​Specialized task - tasks that require specialized skills that you don't have

Before You Delegate

Before you delegate a task ask yourself:

  • What will happen if we just delete it? Many times, we want to get everything done but we don’t need to do be doing it. Maybe, just maybe we can get rid of it completely.
  • ​More commonly, is there a way to automate it? I can’t tell you how many times I get contacted by VAs to schedule appointments when they can simply have a scheduling link like Calendly. A lot faster, a lot more convenient and saves a lot of money. Other tasks that can be automated are data entry through Zapier, email filters, ​automated responses and automated email sequences for payment.

How to Delegate to Get the Results You Want

Now, here are 5 ways to delegate in way that will give you the results you want:

  • Start by seeing what constancies need to be conserved. What parts of this task needs to stay the same for you to get the results you want? When you are clear on this, it will help you communicate better and focus on what’s most important.
  • ​If it’s a repeatable task, something you show them once and they do it after themselves, instead of showing them what you need them to do, create a screen share video showing them step-by-step what you do. This way they can press pause while they do it and come back to rewatch the video however many times they need. A great software for this is Loom.
  • ​See if you can create templates. Many tasks that you do on the fly would be much easier to explain and for someone else to do if they’re using your template. (Make your life even easier by creating templates for yourself on whatever possible even if you don’t delegate it.)
  • ​Create a clear system on how you communicate and know where you are on tasks. I personally really like ClickUp as you can set up additional automations for recurring tasks.
  • ​Know whoever you are delegating to, they have weak cognitive functions too - and they’re most probably different than yours! Keep that in mind whenever there is miscommunication and instead of getting mad at them, see if you can find were things went wrong and create a strategy for next time.
